Job Summary

As an integral part of TAYFFI’s Black Legal Clinic Unit working under the supervision of the Operations and Strategic Partnerships Manager, we are looking to hire a legal administrative assistant with exceptional administrative skills, resourcing, and knowledgeable about Canada’s Justice system

Success in this role is contingent on the incumbent’s ability to contribute to immediate, short-term, and long-term goals and objectives of TAYFFI particularly as it pertains to the Access to Justice Program demonstrated through positive attitude and willingness to be flexible to adapt to changing needs and “roll up shirtsleeves” to get work done; maintains grace under pressure

The incumbent must possess vast experience in Black Social History and experiences regarding justice system in Canada, be familiar with key legal principles, and possess incredible accuracy, strong IT skills, excellent time management, and skilled in facilitating point-in-time inter-agency referrals to ensure clients are linked to resources relevant to their justice navigation needs

Core Responsibilities 

i. Conduct basic legal research, prepare documentation, and periodically schedule justice navigation information sessions for Black communities across Saskatchewan

ii. Serve as primary point of contact handling incoming calls, emails, and responding to case-related inquiries and appointment requests from Black adults navigating the justice system

iii. Ensure effective communication between individuals actively navigating the justice system and the TAYFFI Access to Justice Team to ensure timely intervention and resource connection

iv. Maintain and update a robust database of community legal service providers across Saskatchewan essential for holistic and culturally relevant client support

v. Keep records of client intake and schedules electronically, and maintain hard copy filing of documents with the utmost confidentiality

vi. Create and organize legal resources, tools, and materials for easy use by Black adults and families navigating the justice system

vii. Perform general administrative and office tasks, assist with the development of office procedures, and complete other duties as assigned

Key Skills and Qualifications

Attention to Detail: Meticulousness is critical, as errors in legal documents can have significant consequences.

Organizational and Time Management Skills: The ability to manage workload, prioritize tasks, and meet strict deadlines in a fast-paced environment.

Technical Proficiency: Strong computer skills, including proficiency with Microsoft Office (Word, Excel, Outlook) and specialized legal software as applicable.

Discretion and Ethics: The integrity and professionalism required to handle highly sensitive and confidential client information.

Communication Skills: Excellent written and verbal communication skills for effective interaction with diverse clients and legal professionals.

Employment Requirements

– Completion of a one- or two-year college or diploma certificate program for secretaries, office administration, or related field.

– Analytical thinker with detailed research proficiencies.

– Systematic knowledge of databases and tracking systems

– Understanding of justice system processes and terminology

– Strong communication, advocacy, and interpersonal skills; bilingual or multilingual skills relevant to Black diverse communities an asset.

– Ability to work collaboratively across intersectional organizations and communities

– Deep, lived experience and understanding of Black social history and Afrocentric cultural norms within Saskatchewan context.

– Must have personal vehicle and possess class 5 driver’s license
